An n8n automation agency for the tools you already pay for
Web forms, phone calls, quotes, invoices and payments each live in their own tool, and someone on your team copies data between them. We connect them to your CRM with n8n, inside your own accounts, and keep the flows running every month after launch.
01What we automate
Most of the work is moving one record to the right place at the right moment, with the checks a careful person would make. These are the five flows we build most often.
- Web forms: a contact or quote request becomes a CRM lead with its source page, the right owner gets an alert, and a returning visitor is matched on email and phone instead of being created twice.
- Calls: every Ringover or Aircall call is logged on the right contact, and a number the CRM has never seen becomes a lead to qualify.
- Quotes: moving a deal to the proposal stage builds the quote from your template, sends it for signature and writes the status back on the deal.
- Invoices: a signed quote or a delivered order creates the invoice in your billing tool, with the same customer and references as the CRM deal.
- Payments: a payment matched to an invoice marks it paid, records the date on the deal and tells the account owner. Unpaid invoices past their due date become a task.
02Why n8n
n8n can run on n8n’s own cloud or on a server you control. Its hosted plans keep data in the EU, on servers in Frankfurt, and its pricing counts workflow executions rather than each step, so a ten-step flow costs the same run as a two-step one (n8n pricing page, checked 17 October 2026).
It has built-in nodes for Zoho CRM, HubSpot and Pipedrive. For tools without a node, such as most phone systems, a flow calls the tool’s public API directly. Either way the logic sits in one place you can open and read.
03Three flows, written out
Generic examples. The tools change from one client to the next; the shape of the flow does not.
- Trigger
- A visitor submits the quote form on your website.
- Steps
- 1.n8n receives the form and rewrites the phone number in international format (+33 6…).
- 2.It searches the CRM by email, then by phone. A match updates the existing contact instead of creating a second one.
- 3.A lead is created with the page it came from and the visitor’s answers, and assigned to the next salesperson in the rotation.
- 4.That salesperson gets an alert with a link to the record.
- Result
- The request reaches the CRM with an owner and a source, without anyone copying it out of an inbox.
- Trigger
- A client signs the quote.
- Steps
- 1.The deal moves to Won in the CRM.
- 2.n8n creates the invoice in the billing tool from the quote lines, for the same customer and with the same references.
- 3.When the payment arrives, the invoice is marked paid and the deal records the payment date.
- 4.If nothing has arrived seven days after the due date, the account owner gets a reminder task.
- Result
- One trail from quote to payment: sales see what has been paid, and accounting sees which deal each invoice belongs to.
- Trigger
- A call to the sales line goes unanswered.
- Steps
- 1.The phone system sends the call event to n8n.
- 2.n8n finds the contact by number, or creates a lead marked “unknown caller”.
- 3.A callback task is created for the contact’s owner, due the same day.
- 4.Callbacks still open the next morning appear on the team dashboard.
- Result
- A missed call stops being a line in a call log. It has a person and a deadline.
04How a project runs
- 01
Review
A free 30-minute call. You show us the tools you use and the step that costs your team the most time.
- 02
Written quote in 48 hours
Scope, flows, what is left out, timeline and one price. The price is fixed once you sign.
- 03
Build in your accounts
The workflows run in your n8n and your CRM, under your logins. If we stop working together, everything stays with you.
- 04
Runbook
Each flow comes with a short document: what starts it, what it changes, and what to check when it stops.
- 05
Care plan
Monthly monitoring, fixes and small changes. A failed run alerts us, so your team does not have to watch for it.
05Questions buyers ask
Where is n8n hosted?
On n8n Cloud, the vendor’s hosted service (its hosted plans store data in the EU, in Frankfurt), or self-hosted on a server you rent, in the region you choose. We recommend one or the other after the review, depending on volume, the data involved and who will look after the server. Both are in your name.
Who owns the workflows?
You do. They run in your n8n instance and can be exported as files at any time, and the runbook lists every connection they use. Nothing depends on an AINS account.
What happens if a flow breaks?
Every workflow has an error path: a failed run is logged and sends us an alert. Under a care plan we fix it within the plan’s response time; without one, we quote the fix. Most breaks come from a change on the other side, such as a renamed field or an expired login, and the runbook says where to look.
How is the price worked out?
From the number of flows, the number of tools involved and the state of the existing data, not by the hour. You get one price in writing within 48 hours of the review, and it does not move once signed. Software subscriptions such as n8n or your CRM are billed to you directly by the vendors.
Which tools do you connect?
Most often Zoho CRM, HubSpot, Pipedrive, Ringover, Aircall, Google Workspace, website forms, and billing and payment tools. We check each tool’s API access during the review, before quoting, so the quote never depends on a connection we have not confirmed.
